Privacy Policy

Last updated: February 2025. This policy describes how Audiree ("we", "us") collects, uses, and protects information when you use our document-extraction service for energy auditing.

1. Who we are

Audiree provides a service that helps energy auditing firms extract data from their clients' energy bills (PDFs, spreadsheets, scans) and map it into structured formats and templates. We process data on behalf of our customers (the auditing firms) and in line with applicable data protection law.

2. Data we collect

We may collect and process:

Account and identity data — e.g. name, email, organisation, and credentials or SSO-related identifiers, when you sign up or sign in.

Documents and content — energy bills, spreadsheets, and other files you upload for extraction, plus the extracted data and any templates you use.

Usage and technical data — logs, IP address, device/browser information, and how you use the product (e.g. actions, errors) for operation, security, and improvement.

3. How we use it and legal basis

We use the data to provide, operate, and improve our service; to enforce our terms and ensure security; and to comply with legal obligations. Our legal bases include performance of our contract with you, our legitimate interests (e.g. security, product improvement), and where required by law, your consent.

4. Storage and location

Data is hosted in the European Union. We choose infrastructure and subprocessors that meet our security and data-residency requirements so that your data remains in the EU unless we are required to transfer it by law.

5. Retention

We retain your data for as long as your account is active and as needed to provide the service, resolve disputes, and comply with legal obligations. Document and extraction data are retained in line with your settings and our contractual and legal requirements. You can request deletion of your data subject to applicable law.

6. Sharing

We do not sell your data. We may share data with service providers (e.g. hosting, identity providers) who act as processors under our instructions and under data-processing agreements. We may also disclose data when required by law or to protect our rights and safety.

7. Your rights

Depending on where you are, you may have the right to access, rectify, erase, restrict processing, object, or receive a copy of your data in a portable format. Where processing is based on consent, you may withdraw it at any time. If you are in the EEA or UK, you have the right to lodge a complaint with a supervisory authority. To exercise your rights or ask questions about our processing, contact us using the details below.

8. Cookies and similar technology

We use cookies and similar technology only as necessary to provide the service (e.g. session management, security) and to understand usage in a way that does not identify you personally. You can control cookies through your browser settings; disabling some may affect how the product works.

9. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page and, for material changes, we will notify you by email or through the product. The "Last updated" date at the top reflects the latest revision.

10. Contact

For privacy-related requests, questions, or complaints, contact us via the contact link on our homepage. If you have a data protection officer or a designated contact for data protection, we will respond through that channel when you identify yourself as a business or data controller.
